A Downloads folder works well as an inbox. It becomes harder to use when it also becomes your permanent filing system. A short routine can keep important files separate from temporary ones.

Start with three destinations

Create folders for active work, reference material, and files to review. Choose names that make sense to you. The goal is to reduce uncertainty, not build a complicated taxonomy.

Rename files when you keep them

Use a descriptive name such as project-brief-2026-10.pdf. Preserve the file extension. For a group of related files, use a consistent prefix so they sort together.

Review before deleting

Sort Downloads by date or size to identify old installers and duplicates. Open or inspect anything you do not recognize before removing it. An unfamiliar file can still belong to an active project.

Do not bulk-delete files from system folders using the same routine.

Back up what matters

Move documents you need into your normal backed-up folders. Synchronization and backup are not identical: a synchronized deletion may propagate to other devices. Check whether your backup offers version history and recovery.

Keep the routine small

Set aside a few minutes each week. File what matters, remove what you no longer need, and leave uncertain items in a review folder until you decide.
